About SBG Hospitality

SBG Hospitality is seeking an organized, proactive, and experienced Special Events Project Manager to provide maternity leave coverage for one of our Event Directors. This is a contract opportunity to support our team during a planned maternity leave, with primary responsibility focused on executing our signature Plano Food + Wine Festival, along with supporting several established fall events.

We are looking for someone who is excited to take ownership, communicate proactively, and help deliver exceptional event experiences while working alongside an experienced leadership team.

Contract Timeline

●     August 10–14, 2026: Transition and training with the current Event Director. During this onboarding week, you’ll review SBG Hospitality’s event processes, timelines, vendor relationships, planning documents, and attend key meetings to ensure a seamless transition. (Hours TBD)

●     August 27 - 28, 2026: Meet with the Event Director to discuss what tasks have been completed up to date and next steps. (Hours TBD)

●     August 31, 2026: Our current Event Director begins maternity leave, and the contractor will assume primary responsibility for managing assigned event execution.

●     September–November: Lead planning and execution of Plano Food + Wine Festival while managing preparations for Downtown McKinney Spooktacular Sip & Stroll, Holly Jolly Sip & Stroll, and coordinating monthly Hoppy Marketplace communications.

●     October 31, 2026: Execute Downtown McKinney Spooktacular Sip & Stroll.

●     November 7, 2026: Execute Plano Food & Wine Festival (primary event).

●     November–December: Transition focus to Holly Jolly Market while continuing monthly Hoppy Marketplace coordination.

●     December 5, 2026: Execute Holly Jolly Market.

●     Contract concludes following successful completion of Holly Jolly Market and all post-event wrap-up responsibilities.

Primary Responsibilities

Plano Food + Wine Festival (Primary Focus)

●     Manage the overall project timeline and planning schedule

●     Coordinate vendors, exhibitors, restaurants, wineries, sponsors, and production partners

●     Manage event logistics and operational planning

●     Coordinate staffing plans and volunteer schedules

●     Lead planning meetings and follow-up communications

●     Oversee event-day execution

●     Complete post-event wrap-up and reconciliation

Additional Events:

Downtown McKinney Spooktacular Sip & Stroll

Event Date: October 31, 2026

Responsibilities include:

●     Vendor communication

●     Logistics coordination

●     Timeline management

●     Staffing support

●     Event-day execution

Holly Jolly Market at Legacy West

Event Date: December 5, 2026

Responsibilities include:

●     Vendor communication

●     Logistics coordination

●     Timeline management

●     Staffing support

●     Event-day execution

Hoppy Marketplace at Rollertown Beerworks (Biweekly)

Hoppy Marketplace is an established monthly vendor market. This role is intended to provide coordination and communication support rather than event management.

Responsibilities include:

●     Send event reminder emails and communications to participating vendors

●     Coordinate directly with the on-site Rollertown staff leading up to each market

●     Ensure vendors receive event information and logistics

●     Provide administrative support as needed

Attendance at Hoppy Marketplace events is not required.

Meeting & Availability Expectations

The contractor is expected to:

●     Attend the weekly SBG Hospitality staff meeting each Tuesday at 10:00 a.m. (flexibility may be available when needed).

●     Meet weekly with our Vice President of Operations for a 1–2 hour project update meeting.

●     Attend planning meetings, vendor meetings, site visits, and walkthroughs as needed.

●     Respond to emails and phone calls within one business day (same-day response expected for urgent event matters).

●     Be present for all required load-ins, event days, and load-outs for assigned events.

Expected Time Commitment

This engagement is expected to require approximately:

●     15–25 hours per week during September

●     25–40 hours per week during the busiest planning period leading up to Plano Food + Wine Festival

Actual hours may vary depending on project milestones and event schedules. The contractor is expected to independently manage their schedule while ensuring all deadlines, meetings, communications, and deliverables are completed on time.

Compensation

Contract Fee

$8,000

Completion & Performance Bonus

Up to $2,000

The performance bonus will be awarded upon successful completion of the contract based on:

●     Timely completion of assigned deliverables

●     Strong communication and responsiveness

●     Effective project management

●     Professional representation of SBG Hospitality

●     Successful execution of all assigned responsibilities and events

By the end of this contract, the successful candidate will have:

●     Successfully executed Plano Food + Wine Festival, Downtown McKinney Spooktacular Sip & Stroll, and Holly Jolly Market

●     Successfully coordinated monthly Hoppy Marketplace communications

●     Maintained organized timelines and project plans

●     Built strong relationships with vendors and partners

●     Communicated proactively with the SBG Hospitality leadership team

●     Demonstrated professionalism, ownership, and attention to detail

●     Helped ensure a seamless maternity leave transition for our Event Director
